Having worked in the construction industry for three years, first as an accountant and then as an Administrative and Financial Manager at Vinci Energies, Manon opted to change sector when she joined Birchbox as a Financial Controller.
The main challenge is gathering together and sending all the financial information, especially when I’m working to tight deadlines. I also have to gather information that’s not necessarily related to finance but that may potentially have an impact on the financial side of things at Birchbox.
We used to use regular bank cards and at the end of each month we’d have statements with reams of entries. It was up to the accounting team to collect all the receipts and match each one with the corresponding entry on our bank statement. We ended up wasting a lot of time. We only had three bank cards to go around between the whole company and at times it was a real hassle trying to retrieve all of the receipts.
The reason why we went with Spendesk was because it’s so easy to use and not just for the accounting team but also for the operational teams (Marketing, Tech, Sales). It gives them easy access to practical means of payment whenever they need to make purchases. This affords them a great degree of autonomy because each employee can access the Spendesk account and go ahead with their purchases within predefined spending limits. Our day-to-day work in accounting is also much simpler now seeing as collecting receipts, processing expenses, account reconciliation and other tasks have all been automated.
The main advantage is that it saves us time and it also makes expense tracking easier since everything is centralised through the platform. Since we started using Spendesk, we have much fewer expense reports to process. We were able to just give physical Spendesk cards to employees where necessary and all online purchases are now made using virtual Spendesk cards that are processed through the platform.
Being able to link each receipt to an account because that means every payment made through Spendesk is linked to an account. It saves us so much time in accounting since all we have to do now is export the data and there’s no need to enter each transaction ourselves anymore.
Yes! Any time we have a question, we can contact the support team using the Chat feature. They get back to us very quickly so it’s really useful. The other interesting thing is communicating with the teams at Spendesk. They’re always on the lookout for ways to improve the software and they really take feedback into consideration.
Spendesk is an easy way to digitise accounting processes. It’s easy to set up and very practical to use. We have new employing joining Birchbox who used to used regular bank cards at work and for them Spendesk makes for a welcome change!
